How it actually works

Why the audit trail matters

A signature alone isn't a defense. OLM hashes the final PDF with SHA-256, stamps the signer's IP and timestamp, and stores the chain. If a waiver is ever challenged, you can prove the document wasn't modified after signing.

Minor-form flows

Flag a waiver as requiring guardian consent. The member submits; OLM emails the parent/guardian a second-signer link. Both signatures are bundled into the final PDF.

Annual renewals without nagging you

Set an expiry (typically 1 year). OLM emails members 30 days before expiry, again at 7 days, and blocks check-in if the renewal isn't complete. You don't track it; OLM does.

Waivers questions, answered

Are these waivers actually legally binding?

Yes — finger-drawn signatures are valid e-signatures under the US ESIGN Act and UETA in all 50 states. The SHA-256 audit trail and IP timestamp turn a generic e-signature into evidentiary-grade documentation. We're not lawyers, so consult yours, but the underlying mechanism is what insurance carriers and gym attorneys use.

Can we upload our existing waiver template?

Yes. Upload your existing PDF or paste in your text. Members sign on top of your template; the output is a branded PDF (your logo, your colors) with the signature, timestamp, and audit fields appended.

What happens with kids and minor forms?

Mark a waiver as requiring guardian consent. The member (or their guardian profile) submits, then OLM emails the linked guardian a second-signer link. Both signatures appear on the final bundled PDF.

Where are signed waivers stored?

Encrypted in S3 with org-scoped access controls. Only your gym can pull a member's signed waiver — not other OLM gyms, not OLM itself. Member can download their own copy any time from the app.

What if a waiver expires and the member is mid-class?

Expired waivers block future check-ins, not the current session. The member gets a reminder a month before, again a week before, and at expiry. They re-sign from the app in 30 seconds and are unblocked.
